Adding People to Flows From Groove

There are many ways to add people to your Flows; choose the one that works best for you!

Finding the right prospects and clients to reach out to can be tricky; that's why Groove allows you to import people into Flows in multiple ways.

Note: Everyone you add to a Flow must already be a contact or lead in Salesforce.

Adding Contacts and Leads Directly From Your Flow

While creating the Flow:

  • Use the Add People option in the flow creation wizard

Anytime after the Flow has been created:

  • Hover over the + sign in the upper righthand corner of an existing flow to see the "add people" option.

Once you've clicked 'Add People' you'll notice the different options you have for importing your Contacts or Leads.

This option is great for quickly adding someone to a Flow a la carte by doing a live search of your Salesforce records.

Simply search for the email, name, phone number, company, or title of the person/people you're looking to add to your Flow.

NOTE: By default, Groove will only select results that don't have import warnings.

This is one of the most flexible and powerful ways to add contacts and leads to your Flows because it allows you to set your own custom search criteria and then save that search to be used later.

Additionally, you can associate each person you import to a related object, which will be used to relate the logged activities to, and can also be used for Related Object Merge fields.

Pro Tip - Saving your Advanced Search allows you to reuse it later or for automated import into flows.

Salesforce List View

You can use any Salesforce List View you've created or that is shared with you to import people to your flow:

  • First, pick the object that you want to use - Ex. Opportunities + Contacts

  • Then pick from the available List views for that Object - Ex. Closing this Month

Note: The columns used in this view will be inherited from the List View columns set in Salesforce

Salesforce Report

You can use any Salesforce report that you have access to, in order to import people to your flow.

  • First, you need to select the folder that the report is saved in from Salesforce

  • Then you can select the report

Note: You can find the report folder a report lives in by "saving-as" on an existing report, or looking at the report properties.

This is especially powerful if there is a report in Salesforce that continually gets updated with more contacts or leads that you want to contact. Reports can also be used to set up automatic import into flows and can even be assigned or routed based on the owner.


Flow Import Icons

Below is the list of what alerts can appear in your Flows, what they mean, and what you can do to resolve them.

Import Blocked

This Contact or Lead cannot be imported into the flow because of an org-level or flow-level rule.

Warning

This Contact or Lead may be a duplicate, may be in another flow, or has something that you should be aware of before importing them into the flow

Opted Out

This person is opted out of email communication and can still be imported into the flow, but you will be prevented from emailing.

Adding from your Accounts Page

If you're reviewing the accounts that you've been reaching out to, you can add people to flows directly from this page:

  1. Click on an Account name

  2. Select the people you'd like to add to a flow

  3. Select 'Add to Flow' and choose the flow you'd like to import them to

Adding from your People Page

If you're reviewing the people that you've been reaching out to, you can add people to flows directly from this page as well:

  1. Select the people you'd like to add to a flow

  2. Click 'Actions' at the top right

  3. Select 'Add to Flow' and choose the flow you'd like to import them to
