Follow up Reminders in Gmail

This guide applies exclusively to G-Suite users.

When you're communicating with many prospects and customers at the same time, it can be tough to remember to follow up on the important email threads, and as a result it can be easy to let crucial conversations slip through the cracks. Groove Reminders can help you stay on top of each important thread with the click of a button.

You can create and manage your reminders:

  1. While you're writing an email

  2. From an existing email in your inbox or sent folder

Setup & Configuration

Admin Settings

In order for users to be able to use the Groove Scheduler in Gmail, the Enable Email Bonus Features setting must be enabled for their Salesforce Profile in Groove Profile Settings.

Setting Reminders from the Compose Window

The first location from which you can set a Reminder is from within the compose window when you're writing a new email from Gmail. This functionality is available both when users are starting a new email thread or replying to an existing thread.

Configuring your reminder

To set a Reminder from the compose window when starting a new thread, locate the Reminders icon (denoted with the “Thumbtack Icon”) in the Groove for Gmail Toolbar.

Selecting when you want to be reminded

You can change the time for which their Reminder triggered to send by clicking into the “Set a Reminder for” dropdown menu. Once users click into the date and time dropdown menu, they will see a variety of preset times they can use, as well as an option to choose a custom date/time for their Reminder to send.

The preselected times are configured to send at the designated times as follows:

  • Tomorrow Morning: The following day at 8:00 am in the user’s timezone

  • In 2 Work Days: Two business days (Monday – Friday) at the time the user made the selection

    • If you set a reminder for 2 Work Days on a Friday, the following Monday is “Work Day 1” and Tuesday is “Work Day 2”, so the reminder will show up for you on Tuesday.

  • In 3 Work Days: Three business days (Monday – Friday) at the time the user made the selection

    • If you set a reminder for 3 Work Days on a Friday, the following Monday is “Work Day 1” Tuesday is “Work Day 2”,and Wednesday is “Work Day 3” so the reminder will show up for you on Wednesday.

  • Next Monday Morning: The upcoming Monday at 8:00 am in the user’s timezone

  • In 1 Week: One week (7 days) from the date the Reminder was set at the time the user made the selection

  • In 2 Weeks: Two weeks (14 days) from the date the Reminder was set at the time the user made the selection

  • In 1 Month: The same numerical date of the following month. For example, a reminder “1 month” from September 28 would trigger on October 28. If the following month does not have the exact numerical date, Groove chooses the closest one to that date (e.g. July 31st > August 30th).

If you select "Custom date/time", the default selection will be the following day at 8:00 am. You can pick a different date via the date selector, and choose a time. Note that the times can only be selected in 15 minute increments, starting at 8:00 am.

Adding a Note to the Reminder

You also have the option of adding a custom Note to your Reminder by entering text into the Notes field. Any text in the Notes field will be sent in the body of the Reminder email at the time the Reminder is delivered. This is useful for jotting down what action should be taken at the time the Reminder triggers.

Triggering the Reminder Only if Nobody Responds

Checking the “Only if Nobody Responds” checkbox configures the Reminder such that the Reminder will only trigger if nobody replies to the email thread. This feature comes in handy if the you only wants the email to be bubbled to the top of your inbox in the case that you don't get a response to your original email, as when someone replies to the email, the thread will already be pulled to the top of their inbox.

Note: When the “Only if Nobody Responds” option is selected, Groove looks for any in-thread reply to determine whether the Reminder email should be skipped. Any replies in-thread from the user, the recipient, or any cc-ed/bcc-ed recipients (external or otherwise) would be expected to skip the Reminder.

Creating a Salesforce Task from the Reminder

Checking the “Create a Salesforce Task” will create a Salesforce Task that corresponds to the Reminder (after the email is sent). This is helpful if you prefer to work out of Salesforce and/or prefer to work off of their Salesforce Task list to understand what you need to follow-up on.

Finalizing Your Reminder

Once you're finished customizing the Reminder to their liking, simply click “Create Reminder” button to finalize their Reminder. The reminder will not actually get created until the email is sent, so you can always click the thumbtack icon again to make any updates before you send the email:

Once the email is sent out, you'll see a confirmation message at the bottom left of your screen letting you know that your reminder has been successfully created. Clicking "View" will take you to this page where you can view a list of your reminders, and cancel them if necessary.

Note: if you Schedule an email using Gmail's Scheduled Send option, the reminder does get created right when you click Send.

Viewing Your Reminder Set

After you’ve sent your email, you can see your reminder info with the Inbox/Sent folder:

You will also see the reminder set within the thread itself:

Creating and Managing Reminders for Existing Emails

Within the top of any email thread in your Inbox or Sent folder, you will see the thumbtack icon. If the thread already has a reminder set, you will see the icon "filled" in, and hovering over it will show you the date/time that the reminder is set for.

If you need to make any edits to that reminder, you can click on the thumbtack icon, use the "Cancel Reminder" option (after which you'll notice the thumbtack icon is now "unfilled", since the thread no longer has a reminder set for it), and then proceed to create a new one.

Creating a reminder from an existing thread includes the exact same configuration options as you have when creating a reminder from a new email you're writing.

Receiving a Reminder

When a Reminder is delivered to the user, it is delivered as an email from yourself to yourself in the same thread as the email for which it was sent. These Reminders are only visible to you, meaning the rest of the email’s recipient(s) will not be able to see it. Any “Notes” that were configured for the Reminder while it was being created will be included in the Reminder email, and an open Task will be created in Salesforce if that option was enabled by the user:
