Groove Flows allow you to set up a multi-touch communication strategy for your prospects or customers, that can be continually used and refined as you start to get insights on the results:

A majority of the Flow functionality lives in the Groove web app, but via the Chrome extension users can access flows by adding people to flows and executing the flow actions from wherever they are working (Salesforce, Gmail, GCal).

Note: Outlook users can also access Actions in their Inbox/Calendar, but that is via the Groove Outlook add-in, vs. the extension.

Add to Flow functionality in Salesforce enables users to import Contacts and Leads into Flows from wherever they may be working in Salesforce.

Setup and Configuration

You must have Flow enabled for your user account in order to be able to use and add contacts/leads to flows. No other configuration is necessary.

User Guide

Add to Flow functionality has been injected into a variety of places where users interact with Contacts and Leads across Salesforce to enable users to import participants into a Flow from wherever they are working at a given moment. Some of the newer Add to Flow functionality is only supported in Salesforce Lightning.

Note: Because Omnibar does show up in all Salesforce pages, users in Salesforce Classic can add contacts/leads to flows from any page in Salesforce; the table above describes the pages that the 'Add to Flow' button shows up directly in the Salesforce page, for easier access.

When adding Contacts or Leads to Flows from Salesforce, the participants will always be imported into the Flow under the actioning user’s management. Manage On Behalf Of and Manage People functionality, which enables users to assign Flow participants into another user’s management are not supported from Salesforce.

Importing a Single Contact or Lead into a Flow

Import a single Contact or Lead into a Flow by clicking the "Add to Flow" button. A pop-up will appear, displaying Active Flows the Contact or Lead is part of, Available Flows for selection, and any Archived & Deleted Flows where they are still active. Choose from the Available Flows to complete adding that contact.

Note: Available Flows include any flows that you personally own, or any master flows that you are shared on, and that the contact/lead you've selected is not already in as those would show under Active Flows.

You can add a single contact to a flow from many pages in Salesforce Lightning, including:

  • Contact/Lead record pages

  • Contact/Lead list views

  • Account > Related Contact Lists

  • Opportunity > Contact Role related lists

If adding the person to the flow succeeds, you'll see a success message like the one below:

If adding the person to the flow fails, you'll see an error message like the one below:

If your team is using "Flow Safety Settings", which means that each contact/lead can only be in one flow at a time, you will see a warning message when trying to add a contact/lead to a second flow:

Importing Contacts and Leads in Bulk into a Flow

If you'd like to add multiple contacts or leads to flow at one time, you can do so by using the Bulk Import functions in Salesforce. Bulk import is supported on the following pages:

  • Contact/Lead list views

  • Account > Related Contacts list view

  • Opportunity > Contact Roles list view

When you first open one of these list views, you'll notice a button at the top which shows 'Add all to Flow':

Once you click 'Add all to Flow', all contacts/leads in that view are selected; you can deselect any of them before adding to the flow:

If you instead choose a few from the list view beforehand, you will notice that the button updates to 'Add [#] to Flow':

Once you add your bulk selections to any flow that you choose, you'll see a count of which imports succeeded, and which ones failed, along with an error summary:

To view additional details on exactly which imports failed and why, click 'Download CSV':

Some reasons why an import attempt may fail include:

  • some of the imported Contacts or Leads are duplicate imports, meaning they’ve already been imported into the Flow

  • a Block Import Rule making the Contact or Lead ineligible for import into the Flow

  • your team has the Flow Safety enabled, and the Contact or Lead selected for import is already a participant in a Flow.
