Add to Space from Salesforce

Build and manage the Accounts and Opportunities in your Spaces right from within Salesforce.

Maintaining relevant lists of target Accounts and Opportunities is critical for any team. However, building out these lists and keeping them up to date can take time and work jumping between pages, sometimes causing key deals to fall between the cracks. Groove’s Add to Space feature in Salesforce enables teams to quickly update your Spaces all without having to leave Salesforce. By eliminating the need to open new tabs and search for the correct Space, Add to Space from Salesforce empowers teams to update their Space and get right back to what they were doing.

Initial Setup and Configuration

Note: This feature is only available in Salesforce Lightning Experience.

The Add to Space button is introduced into Salesforce through the Groove Chrome extension. If you haven’t installed the Groove extension into your browser yet, you can do that by following these steps.

Once the Groove Chrome extension has been installed, you should see the Add to Space button surface alongside your Accounts and Opportunities. You’ll first need to have built out a Groove Space in order to add Accounts and Opportunities to them. Clicking Add to Space Button

The Add to Space button looks like a grid with a “plus” icon in the lower right corner. The Add to Space button is surfaced in the following places to enable you to add Accounts and Opportunities to your Spaces from a wide range of places within Salesforce.

Accounts

Opportunities

  • Account Record

  • “Account Name” field on Contact record

  • Account Listview

  • Related Account List

  • Opportunity Record

  • Opportunity Listview

  • Related Opportunity List

On individual Account and Opportunity records, the Add to Space button will populate in the upper-right corner of the record.

A smaller Add to Space button will appear to the left of the names of Accounts and Opportunities when they’re mentioned on other records or in listviews.

Selecting an Account or Opportunity

When you click the Add to Space button, the Add to Space pane will open on the right side of your screen in Salesforce. Within the Add to Space pane are the Active Spaces list and the Available Spaces list. These lists will show all the Spaces in which the selected Account or Opportunity is currently added and can be added, respectively.

Note: Groove will only display Spaces in the Active and Available Spaces lists that match the type of record you’ve selected. If you clicked the Add to Space button on an Account record, only Account records will show up in the Add to Spaces pane. Similarly, if you clicked the Add to Space button on an Opportunity record, only Opportunity records will show up in the Add to Spaces pane.

For each Space, you’ll see some key information on the Space to help identify them. This information includes:

  • The name of the Space

  • The profile icon of the person who created the Space; hover over this icon to see their name

  • The date the Space was created

  • The profile icon of anyone who is shared on the Space; hover over this icon to see their name

Filtering Your Spaces

If you make heavy use of Spaces, chances are a lot will appear in the Active Spaces and Available Spaces lists. To make finding the ideal Space for your selected Account or Opportunity easier, you can make use of a variety of filters.

These filters can be used individually or in combination. When applied, the filters will refine both the Active Spaces and Available Spaces lists. The available filtering options include:

  • Searching according to a specific name or part of a name

  • Sorting the list of Spaces according to a specific order, with options including alphabetically from A-Z, alphabetically from Z-A, from newest to oldest, and from oldest to newest

  • Filtering the list of Spaces to show only Spaces that were created by the viewing user or that the viewing user is shared on

Active Spaces

The Active Spaces are any Spaces to which the selected Account or Opportunity is currently added. The Spaces that will show in the Active Spaces list include:

  • Spaces you have created or been shared on

  • Live Spaces

From within the Active Spaces list, you have the option to either Remove the selected Account or Opportunity from the Space, or View the Space in a new tab.

Available Spaces

The Available Spaces are any Spaces to which the Account or Opportunity is not currently added. The Spaces that will show in the Available Spaces list include:

  • Spaces of the same record type (i.e. only Account or Opportunity Spaces depending on whether you’ve clicked on an Account or Opportunity)

  • Spaces you have been created or have been shared on

  • Live Spaces*

*The Accounts and Opportunities in Live Spaces are determined by the linked Salesforce report. If an Account or Opportunity is manually added to a Live Space, it will be removed on the next Live Space sync.

From within the Available Spaces list, you have the option to either Add the selected Account or Opportunity to the Space, or View the Space in a new tab.

Removing from, Adding to, and Viewing a Space

From within the Active Spaces and Available Spaces lists, you have the option to Remove or Add the selected record, as well as View the Space in a new tab.

Removing an Account or Opportunity from a Space

The Spaces in the Active Spaces list are all Spaces in which the selected record currently exists. You can remove the selected Account or Opportunity from any of the Spaces in this list by clicking the Remove button.

Once a record has been removed from a Space, it will be removed from the Space for all users who are shared on it.

Adding an Account or Opportunity to a Space

The Spaces in the Available Spaces list are all Spaces in which the selected Account or Opportunity is not currently present. You can add the selected Account or Opportunity to any of these Spaces by clicking the Add button.

Once a record has been added to a Space, it will be added to the Space for all users who are shared on it.

Viewing a Space

In both the Active Spaces and Available Spaces lists, see the View button. Pressing it will open up that Space in a new tab. This feature comes in handy if you want to take a closer look at a Space before adding or removing an Account or Opportunity from it, as well as confirming your addition or removal went through successfully.
