Review the Groove data associated with your emails right from within your Gmail inbox!

Inbox View Engagement data empowers you to be fully knowledgeable of key data points for your email activity without them having to leave their inbox by surfacing data within the Gmail inbox itself. By bringing this data into your inbox environment, Groove enables you to brush up on past interactions and the history of the activity without having to disrupt your workflow by opening up another page, such as Groove Analytics or Salesforce.

Setup and Configuration

Groove injects the inbox-view engagement data into your Gmail environment by way of the Groove Chrome extension. You can install the Groove Chrome extension here if you haven't already. Beyond that, no further set up is required.

The Data Groove Populates in Your Inbox

When the Groove Chrome extension is installed, Groove will inject the following data into, and alongside, your Gmail emails.

  1. Tracking Data – if you tracked your email for opens and or clicks, you can review the overall tracking metrics and the recipient's engagement history for the email.

  2. Logging Data – if you logged your email to Salesforce (either manually with Groove's logging UI in Gmail or automatically via Background Email Sync), you can see the logging details for that email.

  3. Reminder Data – if you have an upcoming Reminder on your email, you can go over the details for that Reminder.

  4. Flow Data – if your email was sent from a Groove Flow, you can assess from which Flow the email was sent; you will also receive tracking and logging data in this case, as all Flow emails are tracked for email opens and logged to Salesforce by default.

Reviewing Groove Data from Your Inbox and Sent Folders

With a passing glance at your Gmail “Sent” or “Inbox” items, you can discern which of their emails have leveraged Groove’s capabilities in some way.

Any email that has been tracked, has been logged, has an upcoming Reminder set on it, or was sent from a Flow will contain the Groove 'infinity' icon to the left of its subject line. Any emails that have been tracked will also show a number to the right of the Groove 'infinity' icon that represents the total number of email opens, link clicks, and replies the email has received to date.

To gain a bird's-eye-view of what data Groove has on this email, hover over the Groove 'infinity' icon and a small dialogue box will appear that lists the following information, when applicable.

  • Tracking Data – Groove will surface the total number of email opens, link clicks, and replies Groove has detected thus far.

  • Logging Data – Groove will the name of the Salesforce records to which the Salesforce Task record for the email is currently attached. If this email has been logged as multiple Task records, there will be an entry visible for each. Click on the hyperlink to be routed to the Salesforce Task in a new tab.

  • Reminder Data – Groove will show the date and time the upcoming Reminder is set to trigger.

  • Flow Data – Groove will show the name of the Flow and the Step in the Flow from which the email was sent. Click on the hyperlink to be routed to the Flow in a new tab.

Reviewing Groove Data from within an Email Thread

In addition to the bird’s eye view engagement data disposable to users in their Sent and Inbox folders, you can also review the Groove data associated with your emails when you have an email open. This view of your emails offers you richer insights into your emails than what is available when you hover over the Groove 'infinity' icon in your Sent and Inbox folders.

Tracking Data

If you use email tracking on any outbound email in a thread, Groove will surface an 'envelope' icon in the upper-right corner of the email thread. Clicking on this icon will display the email tracking metrics and engagement history that has been incremented for all tracked emails in the thread.

  • See the total number of email opens, link clicks, and replies Groove has detected on the tracked emails in the thread.

  • Dive deeper into each engagement event in the Engagement History section, where you can see the date and time of the engagement, the type of engagement that occurred, the location where the engagement occurred, and the device from which the engagement occurred.

If Groove has detected that someone clicked on your tracked link, you can hover over the entry in the Engagement History section to see which link the person clicked. You can also click on the hyperlink to be routed to that link in a new tab.

Note: If Groove is unable to confidently detect the recipient's location for an engagement event, the location for the engagement will show as "Unknown" so as not to mislead you.

Logging Data

If the email has been logged to Salesforce, you will see a button that says "Logged" to the right of the sender information. If the email has not yet been logged to Salesforce, this button will say "Log" instead.

Hover over the "Log" button to quickly see to which records the Salesforce Task for the email has been logged. For richer insights, click on the downward arrow on the right-hand side of the button to see the following information.

  • The number of Salesforce Tasks that have been created for that specific email.

  • The names of the records that to which any Tasks created for that email have been attached.

  • The date the email was logged to Salesforce as a Task.

  • A View In Salesforce button that will open to the Salesforce Task record for the email in a new tab when clicked.

Reminder Data

If you have an upcoming Reminder set on an email, there will be a 'filled-in thumbtack' icon in the upper-right section of the email. Hovering over it will show you the date and time the Reminder is set to fire, while clicking on it will surface some additional insights on the Reminder.

  • See the date and time for which the Reminder is configured to trigger.

  • Review any notes you left on the Reminder.

  • See whether the Reminder will fire only if nobody replies in the thread ahead of the Reminder's trigger date.

  • See whether a Salesforce Task was created for the Reminder.

If the Reminder icon is not filled-in, it means that there is not a Reminder queued for the email yet. You can click the icon to set a new Reminder for the email through these steps.
